Job Description
K&R Mechanical Services is seeking a professional, friendly receptionist and administrative assistant to represent our business and serve as the first point of contact for clients and vendors contacting our busy office from 7 a.m. to 3 p.m., Monday through Friday. Key responsibilities for this person include fielding calls and emails, routing deliveries to their appropriate places, staff support, setting up technology resources (setting up cell phones, laptops, Microsoft accounts, etc.) and administrative assistance to the CEO.
Requirements for the ideal candidate include:
· High school diploma or equivalent
· Professional demeanor and business casual dress attire
· Two years relevant work experience - Familiarity with basic office software (Microsoft Office Suite, Outlook, Teams, etc.) and technology resources (android interface, personal computers) as well as multi line "switchboard" operation.
· Ability to operate network scanners, copiers and printers
· Solid written and verbal communication skills.
· Preferred qualifications include bilingual abilities in English and Spanish, experience in an agency environment with mechanical focus and bookkeeping skills.
Key duties and responsibilities:
· Answer and direct all phone calls
· Greet all office guests
· Manage, clean and organize the front desk and supply area
· Schedule meetings, client visits and company events
· Stock supplies for offices, kitchen and restrooms
· Collect and sort all mail and packages
· Provide administrative support to all team members as necessary (notably the CEO)
· Answer guests' and employees' questions
· Decorate the office for holidays
· Provide occasional tours of the office
· Support the office manager and administrative assistants
• Making appointments for all staff or for specific employees, such as executives
• Directing visitors to the correct office
• Responding to all customer inquiries in a polite and timely manner
